undoc Mobile App
unDoc Mobile is a fast and intuitive invoice capture app. It empowers small to medium-sized businesses to upload invoices instantly from their phones, removing the need for desktop access. With AI-powered processing and Human-in-the-Middle (HITM) for exceptions, invoices move smoothly from capture to ERP integration. The app focuses on speed, simplicity, and clarity: upload in seconds, track with statuses, and free teams from paperwork.

🌟 Overview
unDoc Mobile is a purpose-built app for capturing invoices fast and tracking status instantly. It gives clients a camera-first path into unDoc and the ERP. Point, shoot, submit, and check status. AI does the heavy lifting. Human-in-the-Middle (HITM) handles exceptions. I designed it to remove friction on mobile and keep bookkeeping moving.
✨ Highlights
Built for SMBs. Real-world speed at the counter or on the go.
One job, one tap. Upload quickly and always know the status.
Two clear statuses. In progress and Completed for zero confusion.
AI-first. Upfront extraction and supplier mapping.
ERP-ready. Automatic downstream posting, already used with SAP.
🔍 Problem
Clients often buy on the go. Staff had receipts and invoices but no frictionless mobile path into unDoc. They waited to reach a desk or sent photos via WhatsApp or email. Finance then chased missing data. Approvals lagged. Month-end stretched.
❌ Pain Points
No quick mobile intake tied to unDoc and ERP
Non-technical users struggled with desktop patterns on a phone
Missing decisive metadata like payment method blocked processing
Fragmented channels hurt auditability and slowed bookkeeping
👥 Users
Real roles, real jobs, crisp success definitions. I mapped concrete jobs to remove guesswork and scope creep.
Store managers and counter staff
Job: capture supplier invoices at point of receipt
✅ Success: open app, snap or attach, choose payment method, submit in under 30 seconds
Small business owners
Job: batch upload end-of-day, check if done tomorrow
✅ Success: add multiple files, see clear Completed later
assis^ accountants
Job: review quickly when away from desk
✅ Success: filter by status, preview PDF, approve or flag on mobile
🧠 Decision Logic
Design tied directly to user reality.
Dedicated mobile app instead of “responsive web only” to optimize camera, offline, and speed
One primary flow on mobile: Upload and then check status
Minimal inputs on phone. Let undoc AI + HITM enrich the rest
Two statuses only: In progress and Completed to prevent status fatigue
🧩 Solution Overview
Short journey from photo to status. Three essential flows: enter, upload, track.
📲 Flows
Enter
Apple, Google, Microsoft sign-in plus email. Inline help if login fails
My goal: remove the first-use wall for non-technical users
Upload
Source picker: Camera, Gallery, File
Summary: thumbnails, file size, per-file Payment method dropdown, remove or edit
Upload action: enabled once minimum fields set
Uploaded receipt: shows what was submitted and a Done button
My goal: confidence, not confusion
Track
Documents list with filters and two clear status chips: In progress, Completed
Document preview with basic fields and PDF view
My goal: know if it is done without opening a laptop
🏷️ Status Model
Clarity users actually understand.
⏳ In progress
Invoice received. AI processing or HITM if AI needs help
✅ Completed
Processing finished. Ready for accounting and downstream posting
❓ Why only two
Less to interpret on a phone
Matches user questions: “Is it being handled?” or “Is it done?”
✍️ Interaction Principles
Make success likely for non-technical users.
One screen, one decision
Large tap targets and generous spacing
Thumbnails, progress, and a final Uploaded receipt
Plain language. No accounting jargo
🚀 Solution
Direct line from user need to design choice.
Users needed speed → I removed forms and focused on camera-first intake
Users needed certainty → I added thumbnails, progress, and a simple status model
Finance needed structure → I captured decisive metadata and let AI + HITM finish
The business needed reliability → I kept audit trails and ERP integrations inta
